Founded in 2008 by Dr. Shaan Patel, Prep Expert secured a major investment deal with Shark Tank’s Mark Cuban and is currently one of the fastest growing companies in the edtech space.
Prep Expert’s growth was hampered by an inefficient technology stack and sales workflow architecture. Additionally, sales and marketing performance was difficult to measure due to a lack of effective reporting governance.
Our team was brought on to rightsize Prep Expert’s MarTech stack and to drive transparency and performance across the organization.

The Solution
Our team worked with Prep Expert to define their goals and map their existing workflows to establish a strong baseline for future success. Armed with newfound clarity around the business’ operational practices, we implemented a new instance of HubSpot to create centralized controls and bring tightly integrated processes to Prep Expert’s sales and marketing program.
We implemented workflows and tasks to assign lead owners, schedule sales actions, and help communicate/share lead information between reps. We set up tools to track and measure lead status and lead scoring, allowing the sales team to quickly prioritize leads, assisting their team in particularly busy sales seasons. Through weekly training sessions with our team, Prep Expert was able to fully onboard to the new platform and associated procedures within three months.
